Remaining days on license warning

This setting indicates how many days before the expiration of the RentMagic license a warning will be displayed. Before this period has expired, the license must be renewed to continue using the application. Especially in an on-premise situation it is important not to skip this setting.

Use inventory management

The setting Use inventory management indicates whether the stock should be checked when issuing a new order. If this setting is off, negative inventory can occur.

Standard role

When a user is created, this user will default to the role that is saved in this setting.

Standard warehouse

When a user is created, the default warehouse will be the same as the one saved in this setting.

Default language at login screen

As a user you have to select a language during login. Several languages ​​are available for RentMagic. When the login screen is displayed, the default language may be selected automatically. This will be the language used by most users.

Automatically generate password when forgotten

This indicates whether you will receive a link to set a new password when you forget a password or whether a password will be automatically generated for you.

Standard customer

The setting standaard klant is only set if you use RentMagic for internal purposes. Customer data no longer needs to be entered during the rental process. You can then only work with contact persons, this saves extra actions.

Use locations

If you are working with a physical warehouse, it can be useful to create locations. Articles are then localized and the correct walking routes can be created during the order picking process. Note that locations can only contain one serial number (unique item). Locations can contain multiple items without serial numbers. It is not recommended to work with locations if you have a small warehouse.

Release serial numbers manually

This setting ensures that when a product comes back in, it first enters a control status. The product must then be released before it can be reissued. You can do this in the module Release. If you use items that really need to be properly checked, cleaned or, for example, refilled, it is advisable to enable this setting.

Standard period

The setting standard period gives you the option to specify a default period, this default period will be the default value for an issue, provided it is not set on the order itself.

Use transaction types

To group orders during the invoicing process it is easy to use transaction types. This can also provide additional insight into trade transactions for later (management) reports. The transaction types can be created in the system as required. During the trading process you can choose a transaction type per document. When a document goes to the next status, the transaction type is inherited to the new document. If you use transaction types, it is not yet mandatory to choose a transaction type per document, you can also leave this empty.

Use date and time

This setting ensures that products can be rented out for less than one day. In some situations it is necessary to rent out products for a few hours or half a day. This setting should then be enabled. If you rent out products for at least one day, you do not need to enable this setting. Some examples:

  • Example of rental using date / time
    02-03-2017 12:00 to 02-03-2017 13:00 = 1 hour
  • Example without using date / time:
    02-03-2017 to 02-03-2017 = 1 day

By using rental periods without a date / time, but only with a date, the issuance and collection times are seen as variable. Time is therefore irrelevant for the price calculation. By making use of this, it is assumed that the products can only be dispensed once a day. No item periods need to be created that are shorter than 1 day. When you make the value active, the application will display the time values ​​in date and time.

Standard VAT

The default VAT code is entered in this setting. In many cases this will be the VAT code (or rate) 21%, as this is the most commonly used variant.

Split up a warehouse

The setting split up a warehouse ensures that results on overview pages such as orders only display data from the warehouse that is currently selected. Orders from other warehouses are then not visible. It is recommended to use this setting if several users from different depots log into the same RentMagic administration. Unintended data is not displayed and can be protected with it.
